Recruitment CRM software is bought to manage relationships and judged, usefully, on whether it connects a relationship to money. The test is a single screen: open a client, and see the fee percentage, the rebate period, the payment terms, the placements made and what is currently owed. If those five things live on one screen, the product understands an agency; if they live in four places or in someone's memory, it is a contact database with a recruiting label. The reason this matters is cash rather than tidiness. On a desk making twelve placements a year at $18,000 each, $4,438 of fee is inside a 90 day rebate at any moment and $17,753 is waiting on terms, and both figures move every time a placement is made. This page sets out the client test in full and what a good answer looks like.
The five things on one client screen
Fee percentage, rebate period, payment terms, placements and outstanding balance. Ask for it early in a demo, because it is the fastest way to tell whether the product models an agency or a sales team with different words.
Does a placement inherit the terms?
It should, automatically. Re-entering a fee percentage per placement is how the wrong percentage ends up on an invoice, and how a rebate quietly attaches to a placement that was never on those terms in the first place.
What happens when you leave
Ask what an export contains: clients, terms, placements and the history, or just contacts. An agency's client list and placement record is the business, and a product you cannot leave with it has more leverage over you than your clients do.
Questions people ask about best recruitment crm software
Is a recruitment CRM the same as an ATS?
They overlap. The ATS organises around the req and its applicants; the CRM organises around the client that produces reqs. Small agencies need both and usually buy one product that does each half well enough.
Do I need one at twelve placements a year?
Possibly not, and that is worth saying on a vendor's site. What breaks first at that volume is usually rebate and terms tracking, which the contingency agreement sheet here does for free.
What should it cost?
Per-seat products commonly start around $19 per user per month on monthly billing (Manatal Professional, manatal.com/pricing, read 4 September 2026); Reqnix Pro is $189 a month flat for the whole desk.
